Library Administrative Staff Reorganization

I mentioned in my last newsletter article that we would be reviewing the Library's organizational structure and the duties of each position to determine if changes needed to be made which would increase the efficiency and effectiveness of library operations. The first phase of the review involved studying the top level of the administrative structure. As a result of the study, the following changes were made in early February:

During the second phase of reorganization, we will make a prioritized list of current and new services that we consider important. Then we will review the current activities performed in each division and determine the best allocation of duties to allow us to provide as many services as reasonably possible.

Free Trials for Electronic Journals?

Recently a number of publishers of print journals have been offering free trail access to the electronic form of their publications. Last year, because of repeated difficulties with publisher free trails, the Library made the decision not to offer these to its users. The reasons?

The Library does recognize that in spite of these issues, free trial subscriptions offer benefits to faculty and students. We are reviewing our earlier decision and may begin to offer trail publications in a special section of our homepage. If you know of free trials to electronic journals that you would like to see, please email the information to KasalkoSallyG@exchange.uams.edu. If there are electronic journals, free or not, that you want the Library to consider for inclusion in its permanent collections, please email that information to MolesJeanAnn@exchange.uams.edu. The Library is making a concerted effort this year to greatly increase its offering of electronic information. We appreciate your interest and your requests.

Using Microsoft Explorer Makes Saving OVID Citations Difficult

If you are using reference manager software (EndNote, Reference Manager, etc.) to download citations from Ovid, Internet Explorer 4.7 and higher will not work properly without taking some additional steps. Microsoft Internet Explorer 4.7 or higher handles saved files differently than Netscape Navigator and previous versions of Internet Explorer. We strongly recommend that you use Netscape Navigator 4.x as your browser of choice for Ovid and the Library catalog because of this issue.

If you plan to use Internet Explorer and save citations to a reference manager program, here is the work-around:

1. After running your search and selecting references to save, use Citation Manager to save articles as usual. Remember that if you will be importing references into EndNote or Reference Manager, you must save them in Reprint/Medlars format.

2. Click Save. Your unformatted citations will appear in a new browser window.

3. Select Source from IE's View pull-down menu (or right-click and select View Source). Your citations will appear in Notepad or WordPad, depending on the size of the file. Choose Save As from the File menu, and save your file as a text, Word, or RTF file. (Files to be imported into EndNote, Reference Manager, or ProCite should be saved as text.)

You can find a link to download Netscape Navigator from our homepage at www.library.uams.edu/ovid/ovidacc.htm .

For more information about importing Ovid citations, please contact the Library at 686-6734 or infoaccesslibrary@exchange.uams.edu.

Weeding of Some Older Journals

For the past several months, members of the Library faculty have been looking for sites in which to store the UAMS Archives collections currently housed in Hendrix Hall, which must be vacated June 30 of this year.

Unfortunately, there is novacant site on-campus or off-campus which could safely house the Archives collections. The only viable alternative is to weed enough of the older journals at the Distribution Center, most of which have not been used in several years, to allow space for storage of the Archives.

The weeding process will begin this month and the Archives will be moved to the Distribution Center before the June 30 deadline. If you have any questions related to the weeding project, please contact Mary Ryan (686-6730 or RyanMaryL@exchange.uams.edu) or Mary Hawks (686-6749 or HawksMaryS@exchange.uams.edu).

More Full Text Journals Available

In addition to the full text journals available via Ovid, MD Consult, and individually through the Library's online catalog, over 167 journals are available to users in full-text through Academic Ideal. On campus, these titles can be accessed at www.library.uams.edu/databases/ideal.htm. Searches by words or by browsing through available journal titles can be done. One warning: Although there are citations before 1999 listed, only the full-text for articles from 1999 and forward can be retrieved.

For more information about the Library's full-text journals via Academic Ideal, please contact the Library at 686-6734 or infoaccesslibrary@exchange.uams.edu.

Library Resources Accessible 24 Hours A Day

The recent snowstorm made it necessary for the Library to be closed for two days and open shorter hours than usual on two days. We placed a news message on the Library's web site each day about the closings and shorter hours. After the new phone system is installed in April, we will also have the capability of recording messages on the Library's main phone (686-5980) to inform callers when the Library's schedule is altered.

The Library's we site <www.library.uams.edu> serves as the gateway for many of the Library's online resources, which are accessible anytime from anywhere on campus (including the ED II, 8th floor labs, which are open 24 hours a day) and from home when using a UAMS Aristotle account or, for Ovid databases, an Ovid password.

Online resources include the Ovid databases (MEDLINE, CINAHL, PsycINFO, etc.), more than 300 full-text journals, MD Consult (limited to on-campus access), Harrison's Online, Health Reference Center, and many of the Learning Resource Center's educational programs. Also, anytime that the Library is closed, UAMS faculty, homestaff, residents, Poison Control Center and emergency room personnel may gain access to the Library by calling UAMS Security (686-7777).

The meeting will be held March 22 at the Central Arkansas Library System's main library in downtown Little Rock. The meeting will include reports from the ARCHIN steering committee and task forces (funding, web site, publicity, training and resources), and demonstrations of the ARCHIN web site and several other sources of consumer health information, including the National Library of Medicine's MEDLINEplus web site and the PubMed search interface for MEDLINE and other NLM databases.
